Terms & Conditions
INTRODUCTION
To help you get the most out of the Hailey Black School of Dance and to understand our responsibilities to you and your responsibilities to us, please read the following terms and conditions. The language used should make these terms and conditions as clear as possible. These policies help safeguard pupil wellbeing and maintain our school’s reputation for high-quality, enjoyable dance training. Hailey Black School of Dance reserves the right to refuse entry to classes if these rules are not complied with. The Dance School will review and amend its policies on a regular basis and advise parents and pupils to read this document thoroughly to ensure a clear understanding is gained. TERMS AND CONDITIONS
1. Payments and fees
1.1. In order for a place to be kept open for your child in our classes, payment is required monthly in advance, by subscription only.
1.2. The system we use is ClassForKids. All registrations and payments are set up through this system. We no longer accept cash, cheques or BACS payments for class fees.
1.3. We reserve the right to make changes to these amounts and/or collection dates if necessary. In this case, you will be given notice via email prior to collection.
1.4. Fees are reviewed annually.
1.5. There is an annual £25 membership fee per family. Existing members rate is £20.
1.6. Payment will be taken from the account you specify on the 1st of every month. Late or missed payments may result in your child losing their place in class. If you are experiencing payment issues, please contact us as soon as possible so we can help.
1.7. Prices are based on 37 weeks worth of classes, split over 12 months. Fees are averaged over 12 months to ensure consistent monthly payments, including during holiday periods when classes do not run. Therefore a payment will still be taken on 1st August.
1.8. Other Events and Camps can also be booked through the Class4kids system and will be priced individually and independently to class fees.
1.9. All class fees and event payments are non-refundable, except in exceptional circumstances at our discretion.
1.10. All unattended lessons & camps are still payable.
1.11 A late payment fee of £10 will be added if subscriptions fail on the third attempt.
2. Leaving/ Changing and Cancelling classes
2.1. Should your child wish to add or cancel one of their classes then we require one month’s written notice via email along with fees. Please email: haileyblackdance@outlook.com. Notice is effective from the date your email is received. Fees will stall apply for the full notice period.
2.2. Any classes that fall under 5 students in total will be subject to being cancelled. We will aim to provide an alternative class or combine groups where possible before cancellation is considered.
2.3. If any scheduled class(es) are cancelled by the teacher (due to ill health for example) every effort will be made to reschedule the class. If this is not possible, students can be either be credited the appropriate amount; or a refund can be made for the price of the class.
2.4. Lessons will not run on public bank holidays.
2.5. Weather/ emergency closures: In the case of extreme weather - such as snow or local emergencies, we may cancel classes at short notice. These will be rescheduled where possible.
3. Clothing
3.1. The Hailey Black School of Dance has an online shop: hai.mydancestore.co.uk where all uniform can be bought including leotards, skirts, tights, cardigans, socks and shoes. 3.2. No jewellery or accessories should be worn to Hailey Black School of Dance classes for obvious safety reasons.
3.3. Uniform must be worn at every session.
3.4 Long hair should be worn off the face - ideally in a neat and tidy ponytail, plait or bun.
3.5 Trial students may wear comfortable clothing suitable for movement (e.g. leggings and T-shirt) and bare feet.
4. Classes
4.1. From time to time, it will be essential for physical contact to take place between the teacher and student/peers to ensure safe practise and correct dance technique. All physical contact will be appropriate, minimal, and conducted in line with our safeguarding policies.
4.2. Promotional pictures and footage may be taken during classes; please indicate your social media photo preferences on ClassForKids.
4.3. Mobile phones are not permitted during lessons unless being used for learning or promotional purposes.
4.4. No pictures or videos of the school should be shared on social media without prior consent.
4.5. We advise that your child does not bring any valuables (i.e. phones, jewellery etc.) with them to the classes. The Hailey Black School of Dance does not accept any liability for lost or damaged belongings. Any belongings should have child’s name clearly marked.
4.6. No child will be allowed to leave the building without a parent/guardian (unless arranged otherwise). Your child’s safety is paramount to us.
4.7. The Hailey Black School of Dance cannot be held responsible for any injuries incurred during dance class. Teachers will ensure students are learning and progressing in a safe manner.
4.8. If you are going to be late to pick your child up, you must make contact via telephone - 07455407290 to inform us. Late pick up charges may apply after 10 minutes, as outlined in our safeguarding policy.
5. Performances, exams and events
5.1. All performances, exams and events are optional.
5.2. Our annual Summer performance will be recorded professionally. Personal cameras and recording equipment are not permitted.
5.3. Students wishing to take part in our Summer Showcase & Christmas presentations may be required to purchase/ rent costumes.
5.4. All events and shows will follow strict local authority guidelines for all chaperones and show licensing.
6. Behaviour & Code of Conduct
6.1. The Hailey Black School of Dance aims to provide the very best dance training to all its pupils. If we feel that any student is being disruptive on a regular basis we will issue a verbal warning. If this continues, we will speak to the parent or guardian about the matter.
6.2. We believe in setting a good example, in line with our positive inclusive ethos, to build confidence in our students.
6.3. Pupils are expected to follow the dance school’s Code of Conduct. Rude, racist, unruly behaviour in class will not be tolerated.
6.4. We have a strict anti-bullying policy in place and expect our students to always adhere to this.
6.5. All teachers, parents and students will follow the school’s Safeguarding policies.
6.6. Our staff will not tolerate abusive or disruptive behaviour from students or parents. We will treat everyone with respect and appreciate the same in return.
6.7. If a child/parent displays consistent aggressive behaviour, this could result in termination of class membership.
6.8. Alcohol, smoking and vaping are strictly prohibited on site for both pupils and parents.
7. General
7.1. Any medical conditions must be disclosed upon registration, and the responsibility falls to the parent/guardian to update us where necessary thereafter. It is imperative that we are always fully aware of any health implications, for your child’s safety and your own peace of mind.
7.2. We use email as our primary method of communication. Please check junk/spam folders regularly. We send out a weekly newsletter. Social media is used for updates and celebrations - make sure to follow us @haileyblackschoolofdance!
7.3. Data Protection: We comply with UK GDPR guidelines and take your privacy seriously. Any personal data you share with us (e.g. contact details, medical info, photos) is stored securely and only used to run the dance school. We will never share information without consent unless required by law. You can contact us anytime to access, update or delete your details.
